For agencies and service firms

Built by an agency, for agencies and service firms

If your deals turn into projects, milestones or retainers, and someone senior still pieces the picture together, OpsUPLOOP was built for a business like yours. Ours. It is the sharpest fit, not the only one.

IllustrationBill for it: planned, invoiced and collected stay three separate numbers.
Who uses it

Four people, one set of records

Each role starts somewhere different. They all work from the same customers, deals and people.

Founder or managing director

See what needs attention across sales, customers and billing, without being the person who connects every system.

Operations lead or COO

Keep customer commitments, billing and ownership visible in one working hub, with a name against every gap.

Starts with: OpsUPLOOP Delivery · OpsUPLOOP Billing

Sales or growth lead

Turn account research into relevant outreach, and give the team clearer priorities on the leads that arrive.

Finance manager

Invoice what was agreed, on time, and follow up with the right context. Never chase a paid invoice.

The agency problem

Won, delivered, invoiced, chased. Four hand-offs, four places to slip.

In an agency, the person who wins the work is rarely the one who delivers it, and neither of them raises the invoice. Every hand-off is a place for something to fall between chairs. OpsUPLOOP puts an owner and a date on each one, and shows you the ones with nobody against them.

Honest about scope

What OpsUPLOOP is not

Not a PSA

No timesheets, resourcing or capacity planning. If you need those, keep your PSA; OpsUPLOOP covers the ends it doesn’t reach. CRM, PSA or operations software?

Your CRM, or a layer on top of it

It can hold your leads and deals itself, or sit on top of the CRM you have as a reporting and control layer, joined to billing and ownership.

Not IT operations

It is not an AIOps or monitoring tool. AIOps vs AI for business operations

Questions agencies ask
We already use a CRM and Xero. Why add OpsUPLOOP?

Keep them. OpsUPLOOP connects to them and covers the work between them: the won deal that has not been billed, the promise nobody owns, the lead nobody followed up.

Is OpsUPLOOP agency management software?

It covers part of what that category means: winning work, billing and follow-through. It does not do timesheets, resourcing or project budgets, which is what most agency management tools centre on.

Would our pipeline sit in a competitor’s system?

No. Scorchsoft deploys a separate instance for each customer. Your records live in your instance, not in a shared account alongside other agencies.

What does it ask of our team?

A person who owns the setup on your side, access to the systems we connect, and a few sessions to agree your report types, statuses and rules. Then a regular habit of acting on what it shows.

A fit if
  • You bill by milestone or retainer, and invoices sometimes go out late
  • New business depends on a few people remembering to follow up
  • Client promises are made in meetings and tracked in someone’s notes
  • You already use ChatGPT or Claude, and paste things into it
